Job Description: This position is responsible for providing general administrative support which includes –

Facilities Management: 1. Perform general administrative support and ensure smooth running of the office. 2. Manage and monitor office facilities and assigned support services to ensure their effective and efficient operation as well as maintenance, its safety, supplies and services. 3. Take charge of all service & maintenance contracts. 4. Manage repair and maintenance of office equipment, including computers, phones and printers. 5. Ensure that all office facilities & equipment are functional all the time and be in charge of arranging any repairs, replacements & maintenance. 6. Maintain office security as necessary. 7. Custody of all office assets, their safety, insurance, tracking movements, regular updates of the Asset register and spot check. 8. Ensure procurement procedures and authorization procedures are followed: a. Prepare Purchase Indent b. Purchase Order and Invoice Authorization Form (as and when necessary). c. Sort supplier quotations, invoices and payment requests.

Communications & Fund Raising: 1. Assist with donor communications, including appeal and thank you letters. 2. Manage donor database in coordination with the MIS Executive 3. Coordinate bulk mailings 4. Maintain organizational archives. 5. Regularly manage digital fund raising platforms. 6. Coordinate with the Fund Raising Officer to float new campaigns.

Human Resource Functions: 1. Maintain, complete, orderly and accurate filing for electronic and hard copy documents relating to all employment matters such as employee database, time sheet and others. 2. Assist with recruitment of new staff and organization of orientation 3. Coordinate and prepare the necessary documentation and meetings for the probation and annual appraisals and give timely reminders to the respective staffs and their supervisors. 4. Annual update & review of staff records and service contracts.

Other Functions: 1. Assist in maintaining statutory compliances. The job description is indicative and not exhaustive. Additional responsibilities may be assigned time to time.
